Facilities Coordinator (Temporary Position)

Location: Lombard, IL

General Description

Chiro One Wellness Centers provide non-invasive, drug-free chiropractic care to thousands of patients each month.

Enhance the overall efficiency and effectiveness of the Facilities team via coordinating/collaborating with internal and external personnel. Assist in the development and achievement of strategic goals for the Facilities Department.

Essential Functions and Responsibilities

  • Coordinate the full-cycle care of critical systems and hardware within the scope of responsibility of the Facilities Department.
  • Work directly with Senior Manager of Facilities and team in performing preventative maintenance and repairs to ensure equipment runs smoothly and can be utilized efficiently; measures should also be taken to prevent physical facility conditions from deteriorating.
  • Work with management to analyze, plan and implement projects that minimize costs, optimize employee efficiency, and support the goals of the Facilities Team.
  • Coordinate with internal and external personnel to consistently deliver quality facility-related service/products for Medulla Team Members, the companies it supports, and members of our communities.
  • Accompany management on business trips to scout new locations, inspect sites currently in development and meet with vendors/property managers.
  • Manage landlord/property management relationships and enforces lease agreements.
  • Assist in analyzing, auditing, and reporting of facility spending budgets.
  • Assist in bidding and contract management of vendors and contractors.
  • Enforce HIPPA and OSHA compliance.
  • Confer with management to develop departmental processes, policies, and systems. Review operating practices and implement improvements where necessary.
  • Maintain inventory and sample database (pricing, carpet/color samples, etc.) to ensure brand consistency and minimize cost.
  • Monitor and coordinate tasks through our FreshService ticketing system to ensure prompt action and confirmed resolution.
  • Maintain Facilities Team records and information databases as directed.
  • Professionally and enthusiastically promote the Medulla Brand.
  • Remain current on Medulla policies, procedures, and protocols.
  • Remain current on the Facilities Department policies, procedures, and protocols.
  • Assure accurate and up to date knowledge of the services and products provided by Medulla.
  • Maintain confidentiality.

Minimum Qualifications

  • High School Diploma
  • Proficiency in Microsoft Office Suite.
  • 3 years of Customer service experience.
  • Experience supporting Purchasing, Maintenance Engineering, Construction, Real Estate, Property Management, or Facilities Departments.

Preferred Qualifications

  • Associate or Bachelor Degree
  • Familiarity with retail loss prevention control concepts.
  • Exposure to business process improvement projects.
  • Familiarity with HIPAA and OSHA standards.
  • Project Management Training and/or experience.
