Medical Records Coordinator

Location: Oak Brook, IL - Corporate

General Description

TVG-Medulla, LLC provides support and services to two comprehensive chiropractic care companies, Chiro One Wellness Centers and MyoCore Personalized Pain Care, both industry leaders in evidence-based, patient outcomes-centered care.

The Medical Records Coordinator will facilitate the submission of complete medical records to the records requestor following all company policies and HIPAA standards.

Essential Functions and Responsibilities

  • Ensure all records requests are HIPAA compliant.
  • Maintain the online medical records request portal.
  • Review all records received for completeness and accuracy based on department guidelines and checklist.
  • Communicate with records requestor regarding outstanding records requests.
  • Communicate with all Chiro One offices, MyoCore offices, and acquired clinics to obtain information needed to complete records prior to submitting them to the requestor(s) (as needed).
  • Establish deadlines with offices/Physicians and follow up to ensure records are submitted in a timely fashion.
  • Ensure all communication is professional and branded.
  • Maintain an Excel spreadsheet of all record requests and submissions (including requests submitted from billing to the offices).
  • Notify management of any strange scenarios, possible compliance concerns or recurring issues.
  • Work with the TVG-Medulla, LLC legal department when dealing with complicated medical records requests or for strange scenarios.
  • Remain current on Medulla policies, procedures, and protocols via the Medulla Social Network: currently yammer.com.
  • Attend relevant trainings and events aimed at promoting success within the position.
  • Accept and request coaching from qualified sources including supervisors and managers.
  • Follow and stay up to date on all HIPAA laws and state laws regarding medical records.

Minimum Qualifications

  • Proficiency in Microsoft Office (Primarily Outlook, Excel, and Word).
  • Ability to multi-task and follow up with pending tasks.
  • Ability to professionally speak via phone and e-mail to the requestor.
  • Excellent data entry skills.
  • High school diploma or GED equivalent.

Preferred Qualifications

  • One or more years of insurance, medical coding, or billing experience.

  • Ability to multi-task.
  • Excellent follow-up skills.
